How to Run Your Own Event

Whether you’re looking to produce an online event, an in person one, or you’re already producing events and want to make them better, this is for you!

Trying to create a replicable model for an online conference? Live performance show? Screening? Play party?

This will not cover marketing an event which will be covered in a later class. Also see “How to Teach a Class” if you’re interested in structuring a lecture, demo based, or hands-on class.

We will discuss

- Concept

- Structure

- Curation - whether you are including any kind of performance or not a good Run of Show and /or curation can make or break an event. Learn how to

- Risk modeling and break even

- Staffing and Payment - including how to structure if you’re in a position to only take on low risk

- Safety & precautions

- Audience experience

- Venue/platform selection and how that informs or affects sales strategy

And answer questions like...

  • What if I can't afford to pay my performers/speakers/etc?
  • Affiliate schemes: when do they work and when are they insulting?
  • Is it better to do a ticket split, a fixed cost, or a bar minimum with the venue?
  • What kind of ticket structure should I do for my event?
  • What are my goals for this event?
  • Is my model one that is easily replicable and will that affect the frequency I can host this?
  • What happens if my talent doesn't show up or backs out last minute?
  • What happens if the ROS (run of show) goes entirely off script?
  • What is a shortlist I need to prepare the night before an event?

As a producer you take on all the risk and all the potential reward. Sometimes events flop. Sometimes that flop means a financial hit and sometimes it’s just an ego bruise.

You have to be prepared for the unexpected because something will go wrong last minute, because something always does!
